Saiftec Solutions Inc. (“Saiftec”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through this website, why we collect it, how long we keep it, who we share it with, and the choices you have.
We are based in Toronto, Ontario, Canada, and we handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). If you are located in the European Economic Area, the United Kingdom, or California, additional rights are described near the end of this policy.

What we collect, and why
Information you give us through a form
When you submit an enquiry or request a proposal through a form on this website, we collect:
- your first and last name;
- your email address;
- your phone number, if you provide one;
- the message or project details you write.
We use this to respond to your enquiry, prepare a quote or proposal, and continue the conversation you started. We do not use it for unrelated marketing without your consent.
Information collected automatically with a form submission
Our form software records the following alongside your submission, to help us prevent spam and abuse and to understand which page an enquiry came from:
- your IP address;
- your browser and device type;
- an approximate location (city and country) derived from your IP address;
- the page you submitted the form from, and the date and time.
This is not used to identify you beyond the enquiry itself, and it is not combined with data from other sources to build a profile.
Comments on blog articles
If you leave a comment on an article, we collect the name, email address and any website address you enter, along with your comment, your IP address and your browser identifier. This is used to publish the comment and to detect spam. Published comments — including the name you supply — are visible to the public.
Profile pictures beside comments are provided by the Gravatar service, operated by Automattic Inc. To do this, an irreversible hash of your email address may be sent to Gravatar so it can return a matching image. Automattic’s privacy policy is available at automattic.com/privacy.
Technical logs
Our hosting provider keeps standard server logs, which include IP addresses and requested pages. These exist to keep the site secure and available, and to diagnose faults.
What we do not do
- We do not use third-party analytics, advertising, remarketing or social media tracking scripts on this website.
- We do not sell, rent or trade your personal information.
- We do not set any cookies when you simply browse this site without submitting a form or logging in. See our Cookie Policy for detail.
- We do not use your information to make automated decisions that affect you.
Our legal basis for handling your information
Under PIPEDA we rely on your consent, which you give by choosing to submit a form or post a comment. Where you are covered by European or United Kingdom law, we rely on your consent for enquiries and comments, on our legitimate interest in securing the website for technical logs and spam prevention, and on the necessity of processing to perform a contract where you go on to become a client.
You can withdraw consent at any time by contacting us. Withdrawing consent does not affect processing that has already taken place, and may mean we can no longer respond to an open enquiry.
How long we keep it
- Form enquiries: up to 24 months after our last contact with you, unless you become a client, in which case we keep records for as long as the business relationship and our legal and accounting obligations require.
- Outbound email logs: 14 days.
- Comments: for as long as the comment remains published.
- Server logs: a limited period set by our hosting provider.
When information is no longer needed for the purpose it was collected for, we delete it or render it anonymous.
Who we share it with
We do not disclose your personal information except to the following, and only as far as necessary:
- Our web hosting provider, which stores the website and its database on our behalf.
- Our email delivery provider, which transmits notification and reply emails on our behalf.
- Gravatar (Automattic Inc.), for comment profile pictures, as described above.
- Professional advisers or authorities, where we are required to do so by law, or where it is necessary to establish or defend a legal claim.
These providers act on our instructions and are not permitted to use your information for their own purposes. We can tell you which providers we currently use on request.
Information stored outside Canada
Some of the providers above may store or process information on servers located outside Canada, including in the United States. Where that happens, the information may be accessible to the courts and law enforcement of that country under its laws. We take reasonable steps to ensure a comparable level of protection wherever your information is held.
How we protect your information
We use encrypted connections (HTTPS) across the website, restrict administrative access to the people who need it, keep the software the site runs on up to date, and limit the personal information we collect to what we actually need. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take these safeguards seriously and review them.
Your rights
You may ask us to:
- confirm whether we hold personal information about you, and give you access to it;
- correct information that is inaccurate or incomplete;
- delete information we no longer have a valid reason to keep;
- stop using your information for a particular purpose, or withdraw your consent.
Email info@saiftec.com and we will respond within 30 days. We may need to verify your identity before acting on a request. There is no charge for a reasonable request.
If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.
If you are in the European Economic Area or the United Kingdom
In addition to the above, you have the right to receive a copy of your information in a portable format, to object to processing based on legitimate interest, to ask us to restrict processing while a dispute is resolved, and to lodge a complaint with your national data protection authority.
If you are a California resident
You have the right to know what personal information we collect and why, to request a copy, to request deletion, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined by California law, and we do not use it for cross-context behavioural advertising.
Children
This website offers business services and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
Links to other websites
Where we link to a site we do not operate, this policy does not apply to it. We suggest reading the privacy policy of any site you visit from here.
Changes to this policy
If we change how we handle personal information, we will update this page and change the “last updated” date above. Where a change is significant, we will make that clear on the website. Please check back from time to time.
