Privacy Policy

What personal information this website collects, why, how long we keep it, and the rights you have over it.

Last updated: 25 September 2026

Saiftec Solutions Inc. (“Saiftec”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through this website, why we collect it, how long we keep it, who we share it with, and the choices you have.

We are based in Whitchurch-Stouffville, Ontario, Canada, and we handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). If you are located in the European Economic Area, the United Kingdom, or California, additional rights are described near the end of this policy.

Who is responsible for your information

Saiftec Solutions Inc. is the organization responsible for the personal information described here. To reach our privacy contact:

What we collect, and why

Information you give us through a form

When you submit an enquiry or request a proposal through a form on this website, we collect:

  • your first and last name;
  • your email address;
  • your phone number, if you provide one;
  • the message or project details you write.

We use this to respond to your enquiry, prepare a quote or proposal, and continue the conversation you started. We do not use it for unrelated marketing without your consent.

Information collected automatically with a form submission

Our form software records the following alongside your submission, to help us prevent spam and abuse and to understand which page an enquiry came from:

  • your IP address;
  • your browser and device type;
  • an approximate location (city and country) derived from your IP address;
  • the page you submitted the form from, and the date and time.

This is not used to identify you beyond the enquiry itself, and it is not combined with data from other sources to build a profile.

Comments on blog articles

If you leave a comment on an article, we collect the name, email address and any website address you enter, along with your comment, your IP address and your browser identifier. This is used to publish the comment and to detect spam. Published comments — including the name you supply — are visible to the public.

Profile pictures beside comments are provided by the Gravatar service, operated by Automattic Inc. To do this, an irreversible hash of your email address may be sent to Gravatar so it can return a matching image. Automattic’s privacy policy is available at automattic.com/privacy.

Technical logs

Our hosting provider keeps standard server logs, which include IP addresses and requested pages. These exist to keep the site secure and available, and to diagnose faults.

Website analytics

When you browse this site, we use the following tools to understand how it is used, so we can see which pages are useful and improve them:

  • Google Analytics (Google LLC) records the pages you visit, how you arrived (for example, from a search engine), your device, browser and approximate location, and whether you submit an enquiry or click a phone, email, WhatsApp or booking link. We never send the contents of a form, or your name, email address or phone number, to Google Analytics.
  • Microsoft Clarity (Microsoft Corporation) records how pages are used — clicks, scrolling and mouse movement — as heatmaps and session recordings. By default, Clarity masks the text you type into form fields.
  • HubSpot (HubSpot, Inc.), the system we use to manage enquiries and client relationships, records visits to this site and may record the details you enter in our enquiry forms, so that we can follow up on your enquiry.

These tools use cookies, which are listed in our Cookie Policy. We do not use them to advertise to you.

Your country, to show a local contact

We use your IP address to work out which country you are visiting from, so that we can show you the most relevant contact details — for example, our partner’s details to visitors in the United Arab Emirates. This happens as the page loads, and the address is not stored for this purpose.

Services built into our pages

  • Booking a call. Our “Schedule a Call” options use Cal.com (Cal.com, Inc.). Its booking calendar loads on pages that offer it, and the details you enter when booking are handled under Cal.com’s privacy policy.
  • Spam protection. Our forms use Cloudflare Turnstile (Cloudflare, Inc.) to check that a submission comes from a person. It processes your IP address and information about your browser.
  • Fonts. Some text is displayed using fonts delivered by Google Fonts. Loading them sends your IP address to Google.

What we do not do

  • We do not use advertising, remarketing or social media tracking scripts on this website.
  • We do not sell, rent or trade your personal information.
  • We do not use cookies to advertise to you. The cookies we do use are listed in our Cookie Policy.
  • We do not use your information to make automated decisions that affect you.

Our legal basis for handling your information

Under PIPEDA we rely on your consent, which you give by choosing to submit a form or post a comment. Where you are covered by European or United Kingdom law, we rely on your consent for enquiries and comments, on our legitimate interest in securing the website for technical logs and spam prevention, and on the necessity of processing to perform a contract where you go on to become a client. For website analytics, we rely on your implied consent, which you can withdraw at any time using the controls described in our Cookie Policy.

You can withdraw consent at any time by contacting us. Withdrawing consent does not affect processing that has already taken place, and may mean we can no longer respond to an open enquiry.

How long we keep it

  • Form enquiries: up to 24 months after our last contact with you, unless you become a client, in which case we keep records for as long as the business relationship and our legal and accounting obligations require.
  • Outbound email logs: 14 days.
  • Comments: for as long as the comment remains published.
  • Server logs: a limited period set by our hosting provider.
  • Google Analytics data: up to 14 months.
  • Microsoft Clarity: session recordings for up to 30 days, and heatmap data for up to 13 months.
  • HubSpot records: for as long as we use them to manage your enquiry or our relationship with you, or until you ask us to delete them.

When information is no longer needed for the purpose it was collected for, we delete it or render it anonymous.

Who we share it with

We do not disclose your personal information except to the following, and only as far as necessary:

  • Our web hosting provider, which stores the website and its database on our behalf.
  • Our email delivery provider, which transmits notification and reply emails on our behalf.
  • Gravatar (Automattic Inc.), for comment profile pictures, as described above.
  • Our partner in the United Arab Emirates, who also receives enquiries submitted from the UAE, so that they can be answered locally.
  • Google, Microsoft and HubSpot, which provide our website analytics and enquiry management, as described above.
  • Cloudflare and Cal.com, for form spam protection and call booking.
  • Professional advisers or authorities, where we are required to do so by law, or where it is necessary to establish or defend a legal claim.

Our hosting and email providers act on our instructions and are not permitted to use your information for their own purposes. Google, Microsoft, HubSpot, Cloudflare and Cal.com also handle information under their own privacy policies. We can tell you which providers we currently use on request.

Information stored outside Canada

Some of the providers above may store or process information on servers located outside Canada, including in the United States, and enquiries from the UAE are also handled by our partner there. Where that happens, the information may be accessible to the courts and law enforcement of that country under its laws. We take reasonable steps to ensure a comparable level of protection wherever your information is held.

How we protect your information

We use encrypted connections (HTTPS) across the website, restrict administrative access to the people who need it, keep the software the site runs on up to date, and limit the personal information we collect to what we actually need. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take these safeguards seriously and review them.

Your rights

You may ask us to:

  • confirm whether we hold personal information about you, and give you access to it;
  • correct information that is inaccurate or incomplete;
  • delete information we no longer have a valid reason to keep;
  • stop using your information for a particular purpose, or withdraw your consent.

Email info@saiftec.com and we will respond within 30 days. We may need to verify your identity before acting on a request. There is no charge for a reasonable request.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca or 1-800-282-1376.

If you are in the European Economic Area or the United Kingdom

In addition to the above, you have the right to receive a copy of your information in a portable format, to object to processing based on legitimate interest, to ask us to restrict processing while a dispute is resolved, and to lodge a complaint with your national data protection authority.

If you are a California resident

You have the right to know what personal information we collect and why, to request a copy, to request deletion, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined by California law, and we do not use it for cross-context behavioural advertising.

Children

This website offers business services and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.

Links to other websites

Where we link to a site we do not operate, this policy does not apply to it. We suggest reading the privacy policy of any site you visit from here.

Changes to this policy

If we change how we handle personal information, we will update this page and change the “last updated” date above. Where a change is significant, we will make that clear on the website. Please check back from time to time.
